Special Meeting of the Association – Security Issues
There will be a Special Meeting of the Association.  Saturday, August 10, 2019, 9:00 AM at the Port Potomac Pavilion (located behind the clubhouse).  The Board of Directors has organized a Special Meeting for the Port Potomac Residents with representatives of the Prince William County Police Department and representatives from SOS Security Services.  The purpose of the meeting is to discuss existing county services available to the residents and matters of personal and property safety. All residents are encouraged to attend.  Please bring a folding chair as seating is limited.

Clubhouse Update
Lush Interior Design will be re-submitting the Phase 1 Locker room permit application either today or Monday.  The General Contractor and Electrician were both in the building this morning, determining their approach to the repairs as soon as the permit is secured.  The Board will be meeting with Lush on August 29th to review final structure and design plans.  When approved by the Board, Lush will complete the construction drawings and the Association can send the project out for a competitive bid.

Do you like tennis? Is finding a tennis partner difficult? Would you like to play with people in the community and are having a difficult time finding partners and the time? If so, then let Pam the Fitness Director know you’re interested at pwise@nfcamenity.com

Scavenger Hunt
Let’s have one final day of fun before school starts!!!! Please, join Pam for a scavenger hunt on August 23rd. It’s a scavenger hunt for photos of items in the community along with the teams in the photos or even videos of doing silly things. We will have bonus points in certain areas of the community. This is open to 6yrs-14yrs. We will also need adult volunteers to help with the teams. Prizes for the winning team and snacks afterwards. Good Afternoon all,
I hope everyone has been staying cool and inside during this heat wave. From, what I have heard this weekend is going to be a hot one! Please, take extra precautions if you work or spend time outside this weekend. If possible, reschedule strenuous activities to early morning or evening. Know the signs and symptoms of heat exhaustion and heatstroke. Wear light weight and loose fit clothing when possible and drink plenty of water.
 
Updates:

The permit for the locker room renovations was filed with the county on July 9, 2019.  
Emilie Kyle from Lush Interior Design states we should hear something from the county around July 23rd  regarding the indoor pool permit. Send positive vibes all.
Fitness:
Christmas in July 5k run/walk will take place in the community on Saturday, July 27th. At this time there are three residents signed up for the family fun run/walk. If you are interested in the run/walk please rsvp at the following link: Christmas in July
If we do not have at least 25 residents signed up for this event by July 24th, the Fitness Director will cancel the walk/run. It would be great if the community could come together for this event.
 
Covenants:
There are still a few homes in the sections of the townhomes that need a little of extra love and care. Please, see the notes below regarding maintenance of lawns per the Design Maintenance Guidelines:
Lawn Mowing and Maintenance
Turf areas shall be mowed at regular intervals, maintaining a uniform, level cut of five (5) inches or less. At no time shall bare earth be exposed upon a Lot. Lot Owners are required to restore bare areas to turf within the growing season (April-October) either by seeding or sodding. Lot Owners are also required to maintain turf with minimal weeds. Turf area includes the boulevard strip between the sidewalk and the roadway adjacent to an owner’s Lot.
Lawn Edging
Lawns shall be properly edged to prevent grass from growing outside of turf areas.
Lawn Sprinklers
Sprinkler systems do not require approval of the Association; however, they must be maintained such that there’s no negative impact to neighboring properties.

It’s been a busy week, with the Board meeting on June 18th and the Covenants meeting on June 20, as well as irrigation inspections and landscape pruning and cleanup going on.  The storm ponds are scheduled for a thorough cleaning and bush whacking as soon as they dry out enough to get the equipment in those areas.
Last week I told you we were moving the management team into the temporary trailer this past Monday, unfortunately the air conditioning unit did not work, and other arrangements had to be made by the owner of the trailer.  After a long week, we are in the trailer and available for anyone who needs ID cards or other information.

The Board is holding a Special Meeting on June 27, 2019 at 7:00 pm to meet with the lead Designer from Lush Interior Design.  The meeting is tentatively scheduled at the Ferlazzo Building, Locust Shade room. (We are waiting on confirmation.)  The meeting is open to all homeowners, but there will not be an open forum for owner comments during this meeting.
 
The association has been discussing the issue of the community newsletter, which the association has put out in the past but has not published recently.  First, the Board is interested in your thoughts on this issue.  Do you want a newsletter and if you do, what type of newsletter do you want?  Please drop us an email with your thoughts.
 
The Association is in desperate need of volunteers for the Communications Committee.  There are a number of different ways to help.  You can write newsletter articles, take pictures at events, update our Facebook Page.  If you have an idea, the Association would love to hear it.
 
For the last few weeks we have talked about the new trash trucks, Automated Side Loading Trucks, and what that will mean to our trash service.  The new trucks are coming, but it will be at least a month or two before they go into service.  This means we have a little time to make adjustments to the way trash is placed at the curb.  If you need to order a second toter or have a large item to be disposed of you can call Patriot Disposal Customer Service at (703) 257-7100.
 
The last items I wanted to mention today is the outdoor pool.  It looks like we will not be able to open the outdoor pool at all this summer.  The designer is still working out details with the County concerning the repairs needed to the building.  We will continue to pursue this permit so that the indoor pool can be opened, hopefully in the next few months.

The latest schedule submitted by the Interior Designer on the remaining Club House renovations is as follows:
 
July 9 – Schematic design phase complete
July 16 –Association reviews and approves schematic design barring possible changes
Aug 27 – Final Design development complete
Sept 3 – Association reviews and approvals design barring possible changes
Oct. 29 – Construction Requirements and Documentation Developed for bids complete
Nov 29 – Review General Contractor (GC) proposals
Dec 12 – GC Contract awarded and signed
Attempting to open the pools has created some delay (more below).  We are working with the designer to get back on track.  Once we have the GC proposals, we will have a better idea of construction start dates and the length of the project.
 
On-Site Office
 
Last week I told you we hopped to be in the trailer earlier this week.  We did have the inspection on Tuesday, but the electrical installation failed.  The issues were literally a missing screw, a missing plastic washer and bolt and an extra ground.  As of 10:00 AM today the trailer passed the electrical inspection.  The Management staff will be working on site and available to the homeowners as of Monday6/17/19.  Our first project will be to get the computers and ID card system up and running.  I’ll let you know as soon as that is completed.  We have missed the Port Potomac residents and are very happy to be back on site.

Pool Opening
 
There have been multiple meetings with the County concerning the outdoor pool and what repairs are required.  The County currently is requiring all electrical components and wiring in the locker rooms and indoor pool be replaced.  If you think this doesn’t make sense, you are not alone.  The indoor pool was the only part of the clubhouse NOT to suffer any water damage from the pipe break.  The Clubhouse Designer’s engineer is putting together a revised electrical drawing to submit to the County.  Their estimate for the completion of the drawings is two weeks.  Best case, with no issues or delays:
 
July 14 - Plans completed, and permit application drafted and submitted to the County.
July 17-21 - County permit received
July 26th - Locker room repairs started (estimated at about 2 weeks)
August 12th – Earliest possible pool opening
 
Summer Kids Camps
 
The Kids Camps are completely booked.  This year we will be handling rain dates a little different than in the past.  Since we will not be able to move the kids into the Activities room if it rains, camps will not be held in bad weather.  The Fitness Director Pam Kolboski will email the parents close to 9:10 AM when camp is canceled.  So, if you’re not sure, check your email.  Never leave your child unattended while waiting for camp to start.  Please stay with the child until the camp employees are present.  We also ask that you make sure to pick up your child on time at the end of camp.
 
Trash Pickup
 
A few weeks ago, we sent out information concerning trash removal in the community, highlights including:
 
All trash for pickup must be inside the toter can; trash outside the can will not be collected
All toters must be placed at the curb, unobstructed, with the handles facing the house.
“Unobstructed” means that the toter must be 3’ from all other toters, cars, mailboxes, etc.
These aren’t much of a change from how trash has always supposed to be handled.  With Patriot Disposal moving to Automated Side Loading trucks that use a claw to pickup your trash can, they are going to be enforcing these rules.  If you have a large item that you need removed, you can call Patriot Disposal Customer Service at (703) 257-7100 and schedule a pickup.  Landscape debris, branches and grass clippings must be placed inside the trash toter for removal.  If you feel you need a second trash toter for landscape items, you can contact Patriot Disposal customer service.  An additional can be rented for $45 and is not covered by Port Potomac HOA.  
Our Port Potomac maintenance person has noticed that someone has been dumping landscape debris at the storm pond off Steerage Circle.  Please, do not dump your trash, landscape trash, paint, oil or any other trash on the common grounds, especially near the storm ponds.

Walk and Watch

WALK & WATCH: Police - Community Partnership
Walk and Watch is a crime awareness program to encourage dog walkers to serve as extra eyes and ears for the community. There are hundreds of citizens who are out and about all hours of the day or night walking their dogs. Most are preoccupied with texting, chatting, emailing and phone calls during these neighborhood walks. The objective of this program is to encourage each dog walker to be alert and aware of suspicious people, vehicles, activities or vandalism and to report it immediately to law enforcement. Patriot Trash Automated Side Loader Trucks

Last year Patriot Trash began implementing the use of our new ASL (Automated Side Loader) trucks in some of the communities that we service. The ASL truck is manned by a single driver who controls a mechanical arm to pick up toter cans, as opposed to a three-man crew on standard rear load trucks.
The utilization of an ASL truck results in less noise than standard rear load trucks, reduces the time required to collect trash and recycling, and increases efficiency. Our ASL drivers are instructed to not leave the cab of the truck to collect large items or items that are not in a toter.
Starting June 1, 2019, we will begin to enforce this rule, and trash outside the toter cans will not be collected. To ensure that we are able to operate at maximum efficiency, we need your help to reach out to the homeowners of your communities to let them know:
All trash for pickup must be inside their toter can; trash outside the can will not be collected.
All toters must be placed at the curb, unobstructed, with the handles facing the house.

You might have noticed that the waterfall wall has been on and off this past week.  This is due to the fact that we discovered a leak in the irrigation system on that side of Port Potomac Avenue.  The water for the waterfall comes from the irrigation system so when the water level becomes low, the waterfall automatically turns off to protect the mechanical parts.  The irrigation contractor is working on locating and repairing the leak this morning.

We have finally received the permit for the temporary trailer.  The electrician is working on the electric permit and will run electric to the trailer as soon as the electrical permit is issued.  As soon as we get moved in, we will have a location where homeowners can come by to talk to us, replace missing or receive new ID Cards, pick up forms, etc.  We are looking forward to being back in one location and being able to work together as a team.

We are still working on the permit for the locker room repairs.  As you know we need the two locker rooms in order to open the outdoor pool. After contact with the county, our plan was to repair the drywall damage in the locker rooms, lock the doors leading to the clubhouse and have the outdoor and possibly the indoor pool open for business.  The county has turned the project into something else entirely.  First is an issue of egress, the one door in and out of the locker rooms was not adequate, we had to add in the four additional doors in the indoor pool. Next they want to see evaluations of electrical, fire systems, plumbing etc.  Bottom line, the goal is to get the outdoor poo open for use this summer, I do not think it will be open by Memorial Day.  With luck it won't be to long after the holiday.

Please take a minute to read the letter below from Patriot Trash.  This new policy goes into effect June 1, 2019.  For Port Potomac the biggest change will be that residents have to call for large item pickup.  These items will no longer be picked up without notification.

So far this year we have issues 807 violation letters to residences in the community.  The items that are cited the most concern trash and landscaping.  I have talked to you alot this Spring about these items.  Trash may not be visible from the front of the home or on the curb earlier than the night before pickup.  Yards must be mowed, weeds removed, trees and shrubs trimmed.  Bare turf areas should be seeded or install sod.  Another item we have talked about previously, but seem to be ignored, are vehicles.  No commercial vehicles are permitted in the community, that includes trailers.  If they fit in your garage, then they are not visible and the Association has no issue.  Running a used car business, parking unlicensed vehicles all over the property is also prohibited.  We will eventually find and tow these vehicles and will continue to enforce the regulations concerning these items.

New Fitness Class location - Yoga, Body Chisel and Zumba

Thanks to the efforts of the Port Potomac Fitness Director, Pam Wise, we have been able to locate an offsite location to hold three fitness classes a week.  We understand that this is a limited class schedule and there is little flexibility in the times, but it is an opportunity to keep residents moving.  The Potomac Woods Assisted Living Facility has been gracious enough to allow no cost use of their facility.  We have invited any of their residents who would like to join us to do so.  Please make them feel welcome.

Residents must bring their ID Cards to the class, which it is available for residents only.  No guests or children will be permitted.  To assure the safety of the residents of the Potomac Woods Assisted Living Facility, the fitness instructors will meet our residents at the entrance to Building 2, five minutes prior to class and let everyone in the building.

Dog Park

Security Contractor for Port Potomac

Port Potomac HOA has hired a new Security Company, SOS Security, LTD. to handle security services for the community in 2018. (Start date January 16, 2018)  There will be an officer on site from 8 pm to 4 am every evening doing patrols.  To reach the patrol officer during their shift you may call 571/251-2470.   
 
Should you notice anything you want to report that is not urgent or you have a question for the security company, you can call SOS Security, Mr. Robert Salba at 703/862-2040 during normal business hours.  As always, any activity that warrants, you should call Prince William County Police, 911 or the non-emergency number 703/792-6500.

When having packages delivered to your home, beware of “porch pirating” — when a thief steals delivered packages from your doorstep or porch. Thieves can follow delivery trucks, watching for prime targets. These thieves commonly strike during working hours as many homes are empty at that time.
 
There are many steps that you can take to reduce the chance that your deliveries will be stolen. Here are some helpful tips to prevent the theft of your package.
 
·    Have your packages delivered to a location where someone can receive them in-person. A neighbor or relative who is usually home, for example, or your workplace if your employer allows it.
 
·    Encourage  your  neighbors  to  watch  for  deliveries  and  agree  to  secure  each  other’s packages. This includes being watchful for any stranger who is going onto porches for no apparent reason, or following delivery trucks.
 
·    Ask the shipper to hold your package at their facility. Most offer this service.
 
If you see anyone acting suspicious, call the police. Try and get as much information as possible; suspect / vehicle descriptions, license plates, the last direction of travel and any other information that would help identify the thief.
 
REPORT ALL SUSPICIOUS ACTIVITY TO THE POLICE

PWC School Boundary Changes Impact Us!!!

This coming Tuesday, November 22nd at 7pm at Potomac High School Auditorium, there will be community meeting to discuss proposed boundary changes to the elementary schools on the Eastern side of Prince William County.  These changes will impact Port Potomac residents, either directly or indirectly.  One of the plans (of which there are 3), has the community split between attending Mary Williams Elementary School and Potomac Shores Elementary School.
